Stop chasing suppliers for product data.

The operations layer between your suppliers, your team, and your customers. Product data, digital assets, supplier intake and approval workflows — all in one place, from day one.

See how it works

A pattern you'll recognise

Whether you make machined parts, sell clothing, or distribute homeware — your team always ends up being the cable between systems that should talk to each other directly.

YesterdayA supplier sent a revised spec last week. You think it's been approved. You'll have to ask three people to be sure.
This morningA customer asks for your latest product catalogue. Someone exports a CSV, opens the customer's portal, and starts pasting. Forty minutes per batch.
Right nowMarketing shipped a brochure with the old dimensions. The spec changed two weeks ago — but it never made it out of the spreadsheet.
Every weekAn admin spends half their time being the integration layer between your suppliers, your systems, and your customers' systems.

The problem isn't your team. It's that they're a human API between systems that should be talking to each other directly.

Not a PIM. Not a DAM. Not a supplier portal.

You don't need three tools that don't talk to each other. You need one place where data, files, suppliers, approvals, and customer-facing exports actually live together — on day one.

Instead of just a PIM

You get the product database and the workflow that fills it — suppliers submit structured data, your team approves it, approved versions are served to your channels. Data is forever fresh!

Instead of just a DAM

Product images, tech drawings, manuals, compliance docs — all stored against the family they belong to. You send them your files. They send you yours. All tied to the product family.

Instead of emailing documents back and forth

No chasing PDFs, no spreadsheet attachments, no "latest version" confusion. Suppliers fill in structured forms your team designed, your team approves field-by-field, and customers pull the finished result. Everyone works against the same record.

And two more things you won't find anywhere else

Launch planning, built in

Plan a whole range to market in one place. Group the products going live together, set a launch date, and lay out your go-to-market gates — brief, samples, photography, copy, pricing, channel-live — each with its own deadline. See what's on track and what's slipping at a glance, with overdue reminders and reusable launch templates. No separate project tracker, no Slack status thread.

Change management, built in

Need to update a spec, swap a supplier, or revise packaging? Raise a change request scoped to just the affected fields, route it to the right approvers, and every product carries a full audit trail from inception to current live version.

UK & EU packaging compliance

Your compliance obligations, handled from the same data.

EPR, Plastic Packaging Tax, PPWR, WEEE, batteries — every UK/EU producer obligation flows straight out of the packaging and product data you're already capturing. No consultant, no separate spreadsheet, no “your submission is due in six weeks” panic.

UK EPR packaging

Capture packaging material, weight, recyclability and household/non-household per product. Upload your sales (split by UK nation) and get your declared tonnage, a recyclability-modulated fee estimate, and a government-format RPD CSV ready for the DEFRA portal.

Plastic Packaging Tax

Plastic under 30% recycled content is flagged automatically and costed at the current per-tonne rate, with a running year-to-date liability across your saved periods — plus the 10-tonne registration check.

EU PPWR

Design-for-recycling grades (A/B/C), recycled-content minimums, reuse targets and the empty-space ratio — all assessed per pack against the 2030/2038 deadlines, so you see what passes and what needs reworking.

WEEE & batteries

Electricals and battery-containing products are reported by category and weight placed on market — EEE weight kept separate from battery weight, with the portable-battery scheme threshold flagged for you.

Document expiry tracker

CE declarations, test reports, insurance, audits — every compliance document gets an expiry date and an owner. You get 90/30/7-day reminders, a completeness score per product, and a one-click audit-pack export.

Regulation Radar

We already hold your products and materials, so we tell you which regulations apply to you — and what's coming — instead of leaving you to work it out. Plus a compliance score for each of your suppliers.

The maths

A compliance consultant charges £500–£2,000 per submission, twice a year. The compliance add-on covers EPR, Plastic Packaging Tax, WEEE and batteries from data you already hold — for a fraction of one submission. The numbers and government files are generated for you; you stay the legal filer.

Figures are indicative estimates to help you prepare your returns — not legal advice. You remain responsible for your filings; confirm scope with your compliance scheme.

What changes after you sign up

You'll feel the difference in the first 24 hours, not after a 6-month rollout.

Every supplier gets their own portal

No emails, no spreadsheet attachments. Each supplier signs in to their own scoped workspace with a dashboard of their products and a clear list of what your team is asking them to do next.

Reject one field, not the whole submission

When a supplier gets a spec wrong, your team flags just that field. The supplier sees exactly what to fix — instead of restarting a 40-field form from scratch. Faster turnaround, less back-and-forth.

Clean catalogue for your customers

Once data is approved, it syncs out to your store, ERP, or a private customer portal automatically. Buyers get a single source of truth without ever seeing where it came from.

Your internal systems stay private

Suppliers never touch your ERP. Customers never see your suppliers. Everyone works in their own scoped view of the same product record.

Change management without the headache

Need to update a spec, swap a supplier, or revise a packaging design? Raise a change request, scope it to the exact fields affected, route it through the approvers you choose. Every product carries a complete audit trail from inception to its current live version. If you ever cancel, you take your data with you — or we'll archive it free of charge for up to 7 years, your choice.

See where every product is, right now

Each product family runs through the workflow you design — submitted, in review, awaiting QA, approved, synced. A live pipeline board shows exactly which products are stuck and how long they've sat there. Plan launches on top: group products to a go-live date, track your GTM gates against their deadlines, and get reminded when something slips. No separate project tracker needed.

The honest answer

Why is this so much cheaper than the “enterprise PIM” everyone's quoting you for £25,000+?

Because most of what they charge for isn't the software — it's the sales team, the consultants, the six-month implementation, the “solutions architect” on a day rate, and the procurement-friendly invoice padding that comes with all of it.

We don't have a sales team. We don't have consultants. We don't do kickoff workshops or quarterly business reviews. We have a product that you sign into, configure in an afternoon, and use. The savings get passed to you.

If you actually need an army of consultants to roll out product data management, you're probably not our customer. If you want the same capability without the theatre, you're in the right place.

How are you so much cheaper than the competition?
No sales team, no consultancy arm, no “solutions engineers”, no implementation phase. Every customer signs themselves up, configures themselves, and gets the same product the “enterprise” customer would get. The price reflects software-only economics. We make money on the software being good, not on hours billed.
What's the difference between Solo, Lite, Team and Custom?
Solo is for one person managing a product catalogue — no portals, no approval workflows, no other people invited.

Lite and Team have the same feature set — supplier & customer portals, field-level approval workflows, launch planning, change management, the lot. They only differ in seats and storage: Lite gives you 3 seats and 10 GB; Team gives you 10 seats and 24 GB at a better per-seat price.

Custom is sales-led for larger teams who need bespoke seat counts, dedicated infrastructure, SSO, or a named SLA.

You can upgrade between tiers at any time and keep all your data.
Do I need a credit card to start the free trial?
No. The 14-day trial doesn't ask for a card. You can do the entire trial without paying anything, and only enter card details when you decide to subscribe.
What counts as a seat?
A seat is any person who logs in to your workspace — your admins, your suppliers, and your customers. On Team, you get 10 seats split however you like. Extra seats are avaible for purchase.
Do my suppliers and customers have to pay too?
No. Suppliers and customers don't pay anything. They just need a seat in your workspace. You decide who you invite and what they can see.
Can I import data I already have in Excel or another PIM?
Yes. We have three CSV import flows: one to add variants to an existing product type with column mapping, one to create new product types from multiple CSV files at once, and a flat-file import where you tell us what each column means. All three handle column mapping, type inference, and inline editing of rows that don't validate.

The CSV wizards are capped at 5,000 rows per upload so the page stays responsive — if you have hundreds of thousands of SKUs to onboard, use the public API instead, which is built for batched async ingestion.
Where does my data live? Can I get it out?
Your data lives in an EU-resident, encrypted Postgres database (AES-256 at rest, TLS 1.3 in transit). We use a tenant-scoped architecture enforced at two layers: every application query filters by your tenant ID (resolved server-side from your authenticated session, never trusted from the client), and the database itself has Row Level Security policies on every tenant-owned table so any non-superuser connection — including support consoles, read replicas, and partial-credentials leaks — physically cannot read rows belonging to anyone else. Every workspace gets a built-in Security & Isolation page where you can run an on-demand isolation test yourself and download a signed attestation of your current footprint.

You can export all your data as JSON at any time, including URLs to every uploaded image and document. If you specifically need your own database server (regulators, compliance, hardware-level isolation), we offer that as a £600/year add-on.
What happens to my data if I cancel?
You choose. Take it with you as a full export bundle (CSV + JSON + files) at any time within 30 days of cancelling. Or park it with us, read-only, for up to 7 years free of charge — useful for regulatory audits, warranty obligations, or coming back later. Or ask us to delete it immediately. We email you 90, 30, 7, and 1 day before any auto-deletion.
Do you offer connectors to Shopify, SAP, WooCommerce, etc?
Shopify, WooCommerce and Magento are built and live today; SAP and CSV/SFTP scheduled export are on the roadmap (marked "coming soon" on the add-ons page). See the full list and pricing → If we don't have a connector for the system you need, we build custom ones too — just get in touch.
Can SupplyFi help with EPR, Plastic Packaging Tax and other compliance?
Yes — it's a core part of the platform. From the packaging and product data you already capture, SupplyFi produces your UK EPR declaration (tonnage split by nation + a recyclability-modulated fee estimate + the government-format RPD CSV for the DEFRA portal), your Plastic Packaging Tax position with a running year-to-date liability, EU PPWR design checks (recyclability grades, recycled-content minimums, reuse & empty-space targets), and WEEE + battery producer reporting by category and weight.

On top of that: a compliance document tracker (expiry dates, owners, 90/30/7-day reminders, completeness score, one-click audit-pack CSV), supplier compliance scoring, and Regulation Radar — which tells you which regulations apply to you, and what's coming, based on what you actually sell.

These are bundled as a compliance add-on. The figures and government files are generated to help you prepare — they're estimates, not legal advice, and you remain the legal filer. No certification needed; you stay responsible, we just get you the right numbers fast.
Do you offer any AI agentic capabilities?
Yes. The AI agent add-on lets you drive your workspace with natural-language prompts — generate approval workflows, draft tech sheet layouts, classify products, summarise audit history. Bring your own Anthropic, OpenAI, or Vercel AI Gateway key and pay your provider directly, or pick one of our tiers and we'll bill you Claude Sonnet at cost with no markup.
How long does setup take?
Most teams are up and running in an afternoon. Define your product types and fields, invite your suppliers, and you're live. No implementation phase, no kickoff workshop, no consultants required.
Monthly or annual — what's the difference?
You can pay monthly or annually, whichever suits how your business plans cash flow. Monthly is more flexible — cancel any time and your subscription stops at the next billing date. Annual is cheaper — you save the equivalent of 2 months by paying for the year up front. You can switch between the two at your next renewal.
What if I change my mind after I've paid?
On a monthly plan, cancel any time. Your subscription stops at the next billing date and you're not charged again. No refund needed — you've only paid for the month you're in.

On an annual plan, you have a 14-day money-back guarantee from your first payment. Email us within those 14 days and we'll refund the full amount, no questions, no forms. After day 14 the annual commitment stands — you took the 2-months-free discount in exchange for committing to the year. That said, we're human. If something genuinely went wrong, email us and we'll work something out. We don't want anyone trapped in a tool they can't use.

Whatever happens to your subscription, your data is yours — export it any time, or have us archive it free of charge for up to 7 years.
